Why individual prompts aren't enough
When each team member uses AI their own way, an interesting paradox emerges. Some get great results, others are frustrated. Output quality is unpredictable. Know-how stays in individuals' heads and leaves with them. A shared prompt library solves this — it standardizes quality and democratizes knowledge.
Think of it like a cookbook. Everyone can cook, but when you have proven recipes, the result is consistent regardless of who's cooking. A prompt library works the same way — it codifies what works and makes it available to everyone.
Anatomy of a good team prompt
A team prompt is different from a personal one. It must be understandable even to a colleague who's never seen it before. A good team prompt has: a clear name and purpose description, defined inputs (what the user fills in), context specific to your team or company, expected output format, and a usage example.
The most common mistake: prompts that only work for the author because they assume context that others don't have. Always test your prompt with someone who didn't write it.

Keep each bullet to one sentence. Use concrete numbers where possible.Prompt categories to start with
From practice, I recommend starting with these categories: communication (emails, messages, customer responses), documentation (meeting notes, reports, summaries), analysis (data review, feedback, trends), creative (ideas, brainstorming, content drafts). Create 2-3 prompts per category — about 8-12 total to start.
Start with prompts that address tasks from your audit (previous lesson). If you have data on where your team spends the most time, that's exactly where your first prompts should go.
How to organize the library
You don't need a complex system right away. A shared document (Notion, Google Docs, Confluence) works fine. What matters is structure: each prompt has a name, category, description of when to use it, the prompt itself with variables marked [in square brackets], and an example of real usage with output.
Versioning matters. When someone improves a prompt, note the date and what changed. That way you know you're using the latest version, and you can roll back if the new one doesn't perform better.
Store prompts in a tool everyone already uses daily. A Notion page nobody opens is as useful as a dictionary nobody reads. If your team lives in Slack, pin prompts in a dedicated channel. If they live in Confluence, create a prompt space there.
Maintenance and iteration
A prompt library isn't a one-time project. Set a regular cadence — maybe once every two weeks, spend 10 minutes in your team meeting on prompts. What's working? What isn't? Does anyone have a new prompt to share? This simple ritual keeps the library alive and relevant.
Also track which prompts are actually being used. If a prompt hasn't been used in a month, either improve it or remove it. A small active library is better than a large dead one.
Pick 3 of the most frequent tasks from your audit. For each, write a team prompt that includes: 1) Name and purpose, 2) Variables in [square brackets], 3) Context specific to your team, 4) Required output format. Test each prompt with a colleague who didn't write it — does it work without additional explanation?

Start with the task you do most frequently — like a meeting summary or a draft customer response.
Take one of the prompts you created in the previous exercise. Send it to a colleague with no explanation — just the prompt and the instruction 'Try using this for your current task.' Then ask: 1) Was the prompt clear? 2) Did you get useful output? 3) What would you change? Revise the prompt based on the feedback.
Hint
If your colleague needed additional explanation, it means the prompt is missing context. Add to the prompt whatever you had to explain verbally.
Create a simple scoring system (1-5) for evaluating prompts before they go into the shared library. Score each prompt on: 1) Clarity — can a newcomer use it without help? 2) Consistency — does it produce similar quality outputs each time? 3) Time savings — how much time does it save vs doing the task manually? 4) Output quality — is the output usable with minimal editing? Test your rubric by scoring the 3 prompts you created.
Hint
A prompt that scores below 3 on clarity should be rewritten before it enters the library. Prompts that score 5 on time savings but 2 on quality need guardrails added (like 'always verify numbers before using').
